1. Introduction

Kar Mitra respects your privacy and is committed to handling your personal, financial, and compliance-related information responsibly. This Privacy Policy explains what we collect, why we collect it, how we use it, and the controls we apply when delivering our services in Nepal.

2. Information We Collect

We may collect your name, email address, phone number, company details, consultation preferences, billing details, uploaded records, tax and legal documents, payment references, and any information you submit through our website, forms, dashboard, or service communication channels.

3. How We Use Your Information

We use your information to provide consultations, assess service requests, prepare proposals, coordinate filings, process payments, generate invoices or receipts, respond to support requests, maintain internal records, improve service quality, and communicate important updates related to your account or engagement.

4. Consultation Booking and Scheduling

When you book a consultation, we collect scheduling details such as date, time, service category, and contact information. Once payment is received, the selected slot is blocked in our system. Our team then manually schedules the meeting or consultation follow-up and sends the invite or confirmation to the client.

5. Payments, Invoices, and Receipts

Payment information is used to verify booking confirmation, generate receipts or invoices, and maintain financial records. We do not use your payment data for unrelated marketing purposes. After payment, invoice or receipt copies may be sent to both the customer and the Kar Mitra admin team for operational follow-up and audit trail purposes.

6. Document Handling and Compliance Data

Many of our services involve sensitive tax, legal, and financial materials. We use reasonable technical and operational safeguards to protect these records and limit access to authorized personnel who need the information for service delivery, internal review, or regulatory coordination.

7. Sharing of Information

We do not sell your personal information. We may share relevant data with trusted service providers, payment processors, hosting tools, internal team members, or government and regulatory systems only when necessary to deliver the requested service, process transactions, comply with legal obligations, or protect legitimate business interests.

8. Communication and Notifications

We may send you transactional emails, consultation confirmations, proposal updates, payment receipts, filing reminders, account notices, and support messages. These communications are part of the service experience and may be sent even if you are not subscribed to promotional updates.

9. Data Retention

We retain information for as long as reasonably necessary to provide services, meet legal or accounting obligations, resolve disputes, maintain records, or support ongoing client engagements. Retention periods may vary depending on the type of record and the nature of the service provided.

10. Your Rights and Requests

You may contact us to request updates, corrections, or clarification regarding the personal information we hold about you. Where legally and operationally appropriate, we will review requests relating to access, correction, or deletion of data, subject to any record-keeping or regulatory obligations that still apply.

11. Security Limitations

While we take practical steps to protect your data, no website, platform, or transmission method can guarantee absolute security. Clients should also take reasonable care to protect their passwords, devices, and shared records when using digital services.

12. Policy Updates

We may update this Privacy Policy from time to time to reflect changes in our services, legal requirements, operational workflows, or platform features. The updated version will be posted on this page with a revised effective date.
